Get your guesthouse on AutoStays

From zero to a fully AI-powered guesthouse in under 15 minutes. Follow these steps and you'll have an AI booking agent, a beautiful listing page, and smart management tools — all set up.

Before you start, have these ready:

📧Your email address
📱Your business WhatsApp number
🏠Property name, address, and basic details
🛏️Room names, types, and nightly rates
📸3-5 photos of your property + rooms (guests book based on photos)
🏢Conference room details if applicable (capacity, equipment, rates)
💳PayFast, Yoco, or Ozow credentials (optional — for online payments)

Create your account

Go to autostays.co.za/register and fill in:

  • Your full name
  • Your email address
  • A password (8+ characters)
  • Your organisation name (usually your guesthouse or business name)

You'll receive a verification email — click the link to activate your account. Then log in.

Tip: You get a 30-day free trial of the Pro plan — full access to everything, no credit card needed.

Add your property

After your first login, you'll see the onboarding wizard. Select your property type:

  • Guesthouse — traditional guest accommodation
  • B&B — bed and breakfast
  • Lodge — safari or bush lodge
  • Boutique — boutique hotel

Enter your property name, address, city, and basic details.

Note: If you have multiple properties, you can add more later from Settings → Properties.

Add your rooms

Go to Properties → your property → Rooms tab, or the onboarding wizard will guide you here.

For each room, enter:

Room name

e.g. "Garden Suite", "Room 1", "Honeymoon Room"

Room type

Single, Double, Twin, Queen, King, Suite, or Dorm

Nightly rate (ZAR)

Your standard rate per night for double occupancy

Max occupancy

How many guests can this room sleep?

You can also set single occupancy rates, B&B rates, and half board rates per room.

Tip: Add all your rooms now — the AI booking agent uses this to check availability and recommend rooms to guests.

Upload property & room photos

Photos are the #1 factor guests use to decide where to book. Add them in two places:

Property photos (hero images)

Go to Properties → your property → 📸 Property Photos. Upload 3-12 photos of your property — exterior, common areas, pool, garden, reception. The first photo becomes your hero image on listings and search results.

Supports JPEG, PNG, WebP. Max 5MB each. Use natural light, landscape orientation, minimum 1200×800px.

Room photos (per room)

Under each room in the Rooms section, click Photos to expand and upload up to 8 photos per room. Show the bed, bathroom, view, and any unique features. Guests see these when choosing which room to book — both on your listing page and in the booking widget.

Tip: Properties with photos get significantly more bookings than those without. Even 3 good photos make a huge difference. Guests who can see the room they're booking are much more likely to complete the payment.

Add conference rooms (optional)

If your property has meeting rooms, boardrooms, or event spaces, list them on the AutoStays conference room marketplace.

Go to Properties → your property → 🏢 Conference Rooms → + Add Conference Room.

Room details

Name, description, and capacity by layout (boardroom, classroom, theatre). Set pricing: hourly, half-day, and/or full-day rates.

Equipment & amenities

Toggle what's available: projector, whiteboard, video conferencing, microphone, WiFi, parking, catering, etc. Corporate clients filter by these when searching.

Photos

Upload up to 8 photos of the conference room. Show the setup, equipment, natural light, and any breakaway areas.

Your conference room will appear on the Conference Rooms tab at autostays.co.za/explore as well as on your property's landing page. Corporate clients can book and pay directly — no phone calls needed.

Tip: Conference rooms are a great way to generate weekday revenue when accommodation is quiet. The cross-sell is powerful: conference clients who book your meeting room often need accommodation for their delegates too.

Set up your property profile (AI knowledge base)

Go to Settings → AI Agent. This is where you teach the AI about your property. Everything you enter here is what the AI uses to answer guest questions on WhatsApp and phone calls.

Property description

Write a warm, natural description of your place. What makes it special? What's the vibe? The AI uses this exact tone when chatting with guests.

Policies & house rules

Check-in/out times, smoking policy, pet policy, cancellation terms, parking, WiFi password. Guests ask these questions constantly — give the AI the answers.

Agent personality

Choose how your AI sounds: Warm and welcoming, Professional and polished, Luxury concierge, or Friendly local guide.

Agent name

Give your AI a name (e.g. "Rose", "Thandi"). This appears in WhatsApp conversations.

FAQs

Add common questions and answers. "Do you have a pool?" → "Yes, our heated pool is open from 7am to 9pm."

Photos

Upload 3-12 photos (JPEG, PNG, WebP). The first photo becomes your hero image on your discovery page. Natural light, landscape orientation, minimum 1200 x 800px.

Tip: The more detail you give the AI, the better it handles guest enquiries. A well-trained agent can answer 90% of questions without you lifting a finger.

Connect your WhatsApp Business number

This is where the magic happens. Go to Settings → WhatsApp and click "Connect WhatsApp with Facebook".

Step 1: Log into Facebook

Use the Facebook account linked to your business. Don't have a Facebook Business account? No worries — you can create one during the process, or set one up beforehand at business.facebook.com.

Step 2: Create or select your WhatsApp Business Account

If you don't have a WhatsApp Business API account yet, Meta will create one for you automatically.

Step 3: Add your phone number

Enter your guesthouse's WhatsApp Business phone number and verify it with an SMS code.

Step 4: Approve permissions

Allow AutoStays to send and receive messages on your behalf. That's it — your AI agent is now live on your number!

Note: Use a dedicated business number — not your personal WhatsApp. If you don't have a separate business number yet, get a new SIM card (Vodacom, MTN, Telkom, or Cell C — available at any Pick n Pay, Shoprite, or PEP for free or under R5). Then install WhatsApp Business on your phone and register the new number. You can disconnect from AutoStays anytime.

What happens next: Any guest who messages your WhatsApp number will be greeted by your AI agent. It checks availability, quotes rates, and can create bookings — all automatically, 24/7.

Set up online payments (optional but recommended)

Go to Settings → Properties → your property → Online Payments.

AutoStays supports three SA payment gateways. Choose one (or more) that works for you:

Option A: PayFast (most popular for guesthouses)

Already have a PayFast account? Log in at payfast.co.za/login → go to Settings → Integration → copy your Merchant ID, Merchant Key, and Passphrase.

Don't have a PayFast account?

  1. Register at payfast.co.za/registration
  2. Choose "Business" account type
  3. You'll need: SA ID or company registration, bank account details, proof of address
  4. Verification takes 1-3 business days
  5. Once approved, go to Settings → Integration to get your credentials

PayFast fees: ~3.5% + R2 per transaction. Payouts to your bank within 2 business days.

Option B: Yoco (great if you already use Yoco for card machines)

Already have a Yoco account? Log in at portal.yoco.co.za → go to Online Payments → API Keys → copy your Secret Key (starts with sk_live_).

Don't have a Yoco account?

  1. Register at yoco.co.za/signup
  2. You'll need: SA ID, bank account, business details
  3. Approval is usually instant for basic accounts
  4. Go to Online Payments → API Keys for your Secret Key

Yoco fees: 2.95% per online transaction. Daily payouts to your bank account.

Option C: Ozow (instant EFT — no card needed)

Already have an Ozow merchant account? Log in at merchant.ozow.com → go to Integration Settings → copy your Site Code, API Key, and Private Key.

Don't have an Ozow account?

  1. Apply at ozow.com/merchant-registration
  2. You'll need: company registration (CK or CIPC), bank confirmation letter, SA ID
  3. Verification takes 3-5 business days
  4. Once approved, get your credentials from the merchant dashboard

Ozow fees: ~1.5% per transaction (cheaper than card payments). Guests pay directly from their bank — no card needed.

Once configured, guests receive secure payment links when they book via WhatsApp or your discovery page. They pay you directly — AutoStays takes zero commission on bookings.

Tip: Not ready for online payments? That's fine — guests can still book. The AI creates reservations and you collect payment on arrival (cash or EFT). You can set up payments anytime later.
Note: You can enable multiple gateways. Guests will see all available options on their payment page (card via PayFast/Yoco, instant EFT via Ozow).

Connect your OTA channels (Airbnb, Booking.com, etc.)

If you list on Airbnb, Booking.com, or other OTAs, connect them to AutoStays for real-time sync. This prevents double bookings and automatically pulls OTA reservations into your dashboard.

Go to Properties → your property → 📡 Channel Manager.

Option A: Connect Booking.com (recommended)

  1. Click "Connect Booking.com"
  2. Enter your Hotel ID — find it in your Booking.com extranet under Property → General Info, or in your Booking.com URL
  3. Click "Connect & Map Rooms"
  4. AutoStays automatically maps your rooms and starts syncing. Existing Booking.com reservations are pulled in immediately.
Note: Your property must already be listed on Booking.com with active rooms and rates. Don't have a listing yet? Sign up at join.booking.com.

Option B: Connect Airbnb

  1. Click "Connect Airbnb"
  2. You'll be redirected to Airbnb to log in and grant permission
  3. Select your listing(s) and approve
  4. You're redirected back to AutoStays — sync starts automatically
Note: Don't have an Airbnb listing yet? Create one at airbnb.com/host.

Option C: iCal sync (for other OTAs)

For Lekkerslaap, Expedia, and other OTAs that support iCal, you can still use calendar sync:

  1. Copy the iCal export URL from your OTA (Calendar → Export)
  2. In AutoStays: Channel Manager → iCal Feeds → Add Feed → paste the URL
  3. Copy the AutoStays iCal URL for each room and paste it into your OTA's "Import Calendar" setting

iCal sync checks for changes every few hours. The Booking.com and Airbnb connections above are real-time (instant sync).

Tip: Once connected, OTA bookings appear in your AutoStays dashboard automatically. When a guest books directly via AutoStays, your OTA availability updates instantly — no double bookings possible.

Connect Telegram (for you and your staff)

Telegram is your management command centre. If you don't have Telegram yet, download it free: Android / iPhone / Desktop.

Then go to Settings → Telegram in AutoStays and click the link to connect. This gives you a powerful AI assistant that can:

  • Show tonight's arrivals, occupancy, and revenue
  • Check in/out guests
  • Create quotes and send invoices
  • Manage petty cash
  • Set up iCal feeds
  • Answer any question about how to use the platform

Just talk to the bot naturally — "Who's checking in today?" or "What's our revenue this month?"

Note: Staff members can also connect Telegram. Go to Settings → Team to invite them. Each role (Owner, Manager, Accountant, Staff) has different access levels.

Set up Review Gating — Google & TripAdvisor (optional)

After checkout, guests automatically receive a feedback email (1-5 stars). Here's the clever part:

  • 4-5 stars → Guest is prompted to leave a review on Google and/or TripAdvisor (boosts your public ratings)
  • 1-3 stars → Feedback stays private (you see it and can fix the issue, but it never reaches Google or TripAdvisor)

Google Reviews setup

  1. Make sure your property is on Google Maps. If not, add it for free at Google Business Profile (formerly Google My Business).
  2. Find your Google Place ID at Google Place ID Finder — search for your property name and copy the Place ID.
  3. In AutoStays: Settings → Properties → Billing Profile → Google Place ID → paste it.

TripAdvisor Reviews setup

  1. Find your property on TripAdvisor. If it's not listed, claim or add it for free at TripAdvisor Owner Centre.
  2. Copy your property's TripAdvisor page URL (e.g. https://www.tripadvisor.co.za/Hotel_Review-gXXXXX-dXXXXXX-Reviews-Your_Property.html).
  3. In AutoStays: Settings → Properties → Billing Profile → TripAdvisor URL → paste it.

When both are configured, happy guests see buttons for both Google and TripAdvisor after submitting their review — maximising your presence on both platforms.

Tip: This is one of the highest-value features. Properties that use review gating typically see their Google rating climb by 0.3-0.5 stars within a few months. TripAdvisor rankings improve too as more verified guests leave positive reviews.

You're live! What happens now

Your property is now fully set up on AutoStays. Here's what's working for you:

AI WhatsApp Agent (24/7)

Guests message your number → AI answers questions, checks availability, sends quotes, creates bookings. You get notified of every new booking.

Booking Platform

Your property is live on autostays.co.za/explore — guests can search, browse, and book directly. They also find you at autostays.co.za/autostays/your-slug with a full booking widget (dates → rooms → pay). No WhatsApp needed.

Channel Manager

If you connected Booking.com or Airbnb, your availability syncs in real-time. OTA bookings flow into your dashboard automatically. When guests book directly, OTA calendars update instantly.

Conference Room Marketplace

If you added conference rooms, they're live on the Conference Rooms tab. Corporate clients can browse, book, and pay. They'll also see your accommodation for delegate stays.

Daily Digest

Every morning at 7am, you get a WhatsApp/Telegram summary: today's arrivals, departures, revenue, and to-do list.

Dashboard

Your main hub — occupancy, revenue, bookings, calendar, invoices, payroll, and more. Switch between Travelling (guest view) and Hosting (owner view) anytime using the toggle in the nav.
